This Privacy Policy explains what information The Marketing Port collects, why we collect it, who we share it with, and the choices you have. It applies to themarketingport.com and to the marketing, sales, and client-service activities we conduct through it.
The Marketing Port is a brand operated by GammaRVA LLC, a limited liability company doing business as The Marketing Port (“The Marketing Port,” “we,” “us,” or “our”). We are a digital marketing agency providing local and national SEO, Google Ads management, and paid social advertising services.
1. Information We Collect
Information you give us directly
We collect information you choose to submit through forms on our site, by email, or by phone. Depending on the form, this may include:
- Name, business name, job title
- Email address and phone number
- Website address and business location
- Information about your marketing goals, budget, current vendors, or the details you include in a message to us
- Whether you have consented to receive marketing calls, texts, or emails from us
You are not required to give us any of this information, but we cannot prepare a report, quote, or proposal without it.
Information collected automatically
When you visit our site, our hosting provider and analytics tools automatically record standard technical information, including:
- IP address and approximate location derived from it (typically city or region level)
- Browser type, device type, and operating system
- Pages viewed, time on page, referring URL, and links clicked
- Date and time of your visit
Information from advertising and analytics tools
We use Google Analytics 4, Google Ads conversion and remarketing tags, and the Meta (Facebook) Pixel. These tools set cookies or similar identifiers that help us understand how our site is used and measure whether our advertising works. Section 3 explains how to limit them.
Information collected by embedded third-party tools
Some pages on our site embed third-party tools inside a frame — for example, a local search visibility checker supplied by Localo. When you enter a business name or address into an embedded tool, that information goes to the tool’s provider under their privacy policy, not ours. We do not receive the search terms you enter into these tools. We only receive information you separately submit to us through one of our own forms.
Information about our clients’ customers
When we manage advertising, SEO, or analytics accounts on a client’s behalf, we may have access to data in those accounts, including data about the client’s own customers and prospects. We access that data only to perform the services the client has engaged us for, and we do not sell it or use it for our own marketing.
2. How We Use Information
We use the information described above to:
- Respond to inquiries and prepare reports, audits, quotes, and proposals
- Deliver, manage, and report on the services a client has purchased
- Send marketing emails, newsletters, and follow-up communications about our services
- Measure and improve the performance of our website, content, and advertising
- Serve and measure advertising, including remarketing to people who have visited our site
- Maintain business records, invoice clients, and comply with tax and legal obligations
- Protect our site and business against fraud, abuse, and security threats
We do not sell your personal information, and we do not share it with unrelated third parties for their own marketing purposes.
3. Cookies, Tracking, and Your Ad Choices
Cookies are small files stored by your browser. We and our analytics and advertising providers use them to remember your session, understand traffic patterns, and measure ad performance. We use three broad categories:
- Essential — required for the site to load and function.
- Analytics — Google Analytics 4, used to understand which pages and sources bring in visitors.
- Advertising — Google Ads tags and the Meta Pixel, used to measure conversions and to show our ads to people who have visited our site.
You can control these in several ways:
- Block or delete cookies in your browser settings. Some site features may not work correctly if you do.
- Install the Google Analytics Opt-out Browser Add-on.
- Adjust Google ad personalization at adssettings.google.com.
- Adjust Meta ad preferences in your Facebook or Instagram account settings.
- Use the industry opt-out pages at optout.aboutads.info (DAA) or optout.networkadvertising.org (NAI).
Global Privacy Control. If your browser or extension sends a Global Privacy Control (GPC) signal, we treat it as a request to opt out of sharing your information for targeted advertising on that browser. Because browsers differ in how they handle the older “Do Not Track” header, we do not respond to DNT separately.
4. How We Share Information
We share information only in these situations:
- Service providers. Companies that operate parts of our business under contract — website hosting, email and CRM platforms, analytics and advertising platforms, scheduling tools, payment and invoicing processors, and file storage. They may use your information only to provide services to us.
- Fulfillment partners and subcontractors. We use vetted subcontracted specialists to help deliver SEO, paid media, content, and web development work. Where a project requires it, they receive the account access and information needed to do that work and nothing more.
- Advertising and analytics platforms. Google and Meta receive site interaction data through the tags described in Section 3, and they process it under their own policies.
- Legal and safety. When we are required to by law, subpoena, or legal process, or when we reasonably believe disclosure is necessary to protect our rights, our clients, or the public.
- Business transfer. If the business or its assets are sold, merged, or reorganized, information may transfer as part of that transaction. We will note any material change in how information is handled in an updated version of this policy.
5. Email, Calls, and Text Messages
We send marketing email to business contacts, including prospects we have researched and identified as a likely fit for our services. Every marketing email we send includes a working unsubscribe link and our physical mailing address, as required by the CAN-SPAM Act. Unsubscribe requests are honored promptly, and we do not sell or transfer email addresses to other senders.
We place calls to business phone numbers, and we screen against the National Do Not Call Registry. We send prerecorded, automated, or text-message marketing only to people who have given prior express written consent — for example, by checking a consent box on one of our forms. You can revoke that consent at any time by replying STOP to a text or by contacting us using the details in Section 11.
Clients and active prospects also receive service and transactional messages — reports, scheduling, billing, and account notices. These are not marketing messages and continue while the working relationship is active.
6. Your Rights and Choices
We extend the following rights to every visitor and client who asks, regardless of where you live. We do not require you to be a resident of a particular state to make a request.
You may ask us to:
- Access — tell you what personal information we hold about you and where we got it
- Correct — fix information that is inaccurate or out of date
- Delete — remove your information from our systems
- Opt out — stop marketing email, calls, or texts, or stop the use of your information for targeted advertising
- Obtain a copy — receive the information you gave us in a portable format
To make a request, email matt@themarketingport.com with the subject line “Privacy Request.” We will confirm receipt and respond within 45 days. We may need to verify your identity — usually by confirming you control the email address or phone number associated with the information — before we act on a request.
Some information must be kept even after a deletion request, such as records needed for tax, accounting, contract, or legal-compliance purposes, and records of your opt-out itself so we do not contact you again by mistake. We will tell you if that applies to your request.
We will never deny you service, charge you a different price, or provide a lower quality of service because you exercised any of these rights.
7. Data Retention
We keep information for as long as it serves the purpose it was collected for, and then for as long as we are required to keep it:
- Inquiry and lead records — up to 3 years from the last contact, unless you ask us to delete them sooner
- Client records, contracts, and billing — at least 7 years after the engagement ends, for tax and legal purposes
- Marketing email lists — until you unsubscribe, plus a permanent suppression record of your email address so we do not re-add you
- Website analytics — per the retention setting in Google Analytics, currently 14 months
8. Security
We use commercially reasonable safeguards to protect information, including encrypted connections (HTTPS) on our site, access controls and multi-factor authentication on our business accounts, and limiting internal access to people who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach affects your information, we will notify you as required by applicable law.
9. Children’s Privacy
Our site and services are directed to businesses and are not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
10. Third-Party Links and Sites
Our site links to and embeds content from other companies. We are not responsible for their privacy practices, and this policy does not cover them. Review the privacy policy of any third-party site or tool before providing information to it.

12. Changes to This Policy
We may update this policy as our services, tools, or legal obligations change. When we do, we will revise the “Last updated” date at the top of this page. If a change materially affects how we handle information we already hold, we will make a reasonable effort to notify affected clients and subscribers directly. Continued use of the site after an update means you accept the revised policy.
